Confirmation Protocols

Must be completed for appointments day of and next day that are not confirmed.  We give 2 courtesy phone calls.  DOUBLE CHECK that patient is not already confirmed.

Patients receive the following electronically:

14 days prior via email to everyone

7 days prior text to everyone

3 days before text if unconfirmed

Same day of appointment 2 hours prior to appointment to everyone.

Protocol for calling:

Appointments with a white dot are unconfirmed and appointments with a blue dot are confirmed. 

  • Call on every appointment that has a white dot: hover over the appointment, call cell first, then home or work. 

  • If you leave a message type the date, LM (left message), and your initials (i.e. 6/1/19-LM-TM). 

  • If you get ahold of the patient and they confirm, click on the appointment and select confirmed on the right side of the screen. The appointment dot will turn blue.

  • If the patient is not confirmed 48 hours in advance of their appointment we will remove them from the schedule and send them a message notifying them their appoint is canceled.
